How to Plan a Tour
You have a group of people who want to go somewhere and someone has put YOU in charge. Now what?

The Usual Process

First, provide us with the details for your group tour. With the details you provide we'll prepare an outline. Time to complete the outline is from 3 to 14 business days, or longer, depending on how much detail you have provided to us, the scope of the tour, and your deadlines.outline
Next we'll review the outline with you and ask that you (and your group) provide feedback to be sure that we have included everything you've asked for. Experience has shown that this usually takes from 3 to 10 business days. (The fewer the people who have to approve the outline, the faster it goes!)proposal
Once you've looked at the outline and submitted any changes to us, we'll create a proposal, send it to you and then discuss it with you. This proposal will have a day-by-day itinerary listing the activities you'll be doing, the farms or businesses you'll visit, what meals, if any, are included, etc. Also included in the proposal is a price per person, based on the size of the group. We'll provide a price for a range of people (from 10-14, 15-19, etc.). This step takes from 5 to 15 business days to finalize.contract
Once you have accepted the program and the price, we will then send a contract for your signature and ask that you return it to us. Fax works well for this step. We'll also forward an invoice detailing cost, payment terms and refund terms.GST waiver form
If your group is coming into Canada from another country, we will also send you a GST waiver form. Signing and sending back the GST waiver will save us charging your group an additional 7% on top of the cost of your tour. Please note: For groups in Canada and the US travelling outside of Canada, there is no GST charged.arrangements
Then it's time for us to make the transportation, hotel and food arrangements. If you're traveling in a foreign country and need an interpreter, we'll arrange that. We'll have someone meet you at the airport and take you to the hotel. We'll contact the farms and set up the times. We'll book city tours and attractions tours. If someone in your group is celebrating a birthday, let us know and we'll order a cake! If your group is travelling to a country that requires visas or vaccinations, we'll guide you through the processes. This can be done through a password protected (secure) section on our website or via email. We will also send you a list of answers to frequently asked questions about your destination. Answers to: Do I need an electrical adapter?; Can I use my debit card?; How do I say please and thank you in the language of the country? and many more are included. If we've missed a question, just contact us and we'll get the answer.final arrangements
Closer to your arrival, (or departure) we'll be in touch to make the final arrangements. You'll receive the travel documents you need. If your group is arriving in Canada or the US we'll meet you. If your group is departing from Toronto, we'll be there to wave goodbye!unusual requests
Naturally, there are 'unusual' processes depending on the nature of the request and time frames. If you think your request might not follow the above process, don't worry.
